Privacy Policy

TopNam Academy LLC provides Qami AI Teams, an invite-only AI readiness baseline platform for customer organizations. This policy explains what data we process, why we process it, and how it is handled.

This policy covers customer admins, managers, employees, and people who submit the public contact form. It does not replace any separate customer agreement, data processing addendum, or order form.

Who this policy covers

Qami AI Teams is designed for organizations. The customer company is the account owner. Individual users access the service as authorized members of that customer workspace. We also process information from people who request access or contact us through the public website.

Information we collect

  • Account and identity data from Clerk, such as name, email address, and authentication details needed to sign users in.
  • Organization and role data used to place users in the correct customer workspace and apply access controls.
  • Qami AI Readiness Baseline data, including answers, scores, completion status, and related reports.
  • Contact request data submitted through the public form, including company name, contact name, work email, team size, and message.
  • Product, security, and analytics data such as logs, device/browser signals, and basic usage information.

How we use information

  • Provide access to the platform and secure user sessions.
  • Run the Qami AI Readiness Baseline, score responses, generate reports, and display results inside the correct customer workspace.
  • Respond to contact requests, support questions, and operational issues.
  • Maintain reliability, investigate abuse, and meet legal or contractual obligations.

Workspace visibility

Customer admins and managers may be able to see workspace-level participation, member status, scores, and related baseline reports for users in their organization. Customers are responsible for how they use those results inside their own business.

AI processing

Objective questions are scored without AI. Open-ended responses may be sent to third-party AI providers so we can evaluate them against authored rubrics and generate baseline results. This policy and the AI use page should be read together.

How we share information

We do not sell personal information for money. We may share data with service providers that help us operate the service, such as identity and authentication providers, hosting and database providers, analytics providers, AI providers, and communication or notification tools.

Public contact requests are stored in Convex and may also trigger an operational notification through a Discord webhook.

Cookies, sessions, and analytics

We and our providers use cookies, headers, and similar technologies for sign-in, session management, security, and basic product analytics. If you block essential auth or session technologies, parts of the service may not work.

Retention and security

We keep information for as long as needed to operate the service, support customers, maintain security records, and meet legal or contractual obligations. We use reasonable technical and organizational safeguards, but no system can promise absolute security.

Privacy requests

Depending on applicable law, you may have rights to request access, correction, deletion, or other privacy-related action. If your data was provided through your employer or customer organization, we may direct you to that organization first or coordinate with it before completing a request.
